Productivity System
My Productivity System
A combination of methods and tools that help me stay organized and focused.
Core Principles
- Capture everything - Get it out of your head
- Regular reviews - Weekly and daily
- One system - This Obsidian vault is the source of truth
- Simplicity - Complexity breeds abandonment
Daily Workflow
Morning (30 min)
- Review today's calendar
- Check Daily Notes from yesterday
- Identify 3 priority tasks
- Time block the day
Evening (15 min)
- Process inbox to zero
- Review completed tasks

- Prep tomorrow's priorities
Weekly Review (Sunday, 1 hour)
Based on GTD methodology:
- Clear all inboxes (email, notes, tasks)
- Review calendar (past week + next 2 weeks)
- Update project status
- Review someday/maybe list
- Plan next week's priorities
Tools I Use
| Tool | Purpose |
|---|---|
| Obsidian | Notes, knowledge management |
| Todoist | Task management |
| Google Calendar | Time blocking |
| Notion | Work-specific collaboration |
| Apple Notes | Quick capture on phone |
Methods Integrated
Getting Things Done (GTD)
- Capture → Clarify → Organize → Review → Engage
- 2-minute rule: if it takes less than 2 minutes, do it now
Time Blocking
- Deep work blocks in the morning (see Book - Deep Work)
- Shallow work batched in afternoons
- No meetings before 10 AM if possible
PARA Organization
This vault follows PARA:
- Projects: Active with clear end date
- Areas: Ongoing responsibilities
- Resources: Reference material
- Archive: Completed/inactive
Pomodoro Technique
For focused work sessions:
- 25 min work → 5 min break
- After 4 pomodoros → 15-30 min break
What I've Learned
From Book - Atomic Habits:
"You don't rise to the level of your goals, you fall to the level of your systems."
The system matters more than motivation. Build habits that make productivity automatic.
